This Privacy Policy explains how AudioKey ("we," "us," "our") handles information when you use our website and services, including distribution, publishing administration, sync licensing, physical manufacturing, and monetization (together, the "Service"). It applies to artists, labels, and other users who register for an account, as well as visitors browsing our site.
2. Information We Collect
- Account information: name, email address, and password when you register.
- Artist and release information: artist or label name, release titles, cover art, audio files, ISRC/UPC codes, and genre tags.
- Metadata and payee information: songwriter, publisher, producer, and collaborator names, roles, and royalty split percentages, used to register and pay out royalties correctly, including through publishing administration.
- Physical fulfillment information: shipping addresses and order details, if you use manufacturing or physical distribution.
- Payment information: payment for orders and quotes is processed by a third-party payment processor; we do not store full card numbers on our own servers.
- Usage and performance data: pages visited, and streaming, download, mechanical, performance, sync, and monetization revenue data reported back to us for your catalog.
- Communications: messages you send us through the contact form or by email.
3. How We Use Information
- To deliver your releases to DSPs and, where opted in, register payee splits and publishing information;
- To collect and pay out royalties, mechanical and performance income, sync fees, and monetization revenue owed to you;
- To manufacture, warehouse, and ship physical orders you place;
- To operate account features such as billing and support;
- To pitch your catalog to music supervisors, where you've opted into sync licensing;
- To detect and prevent fraud or violations of our Terms;
- To respond to your inquiries and send service-related communications.
4. How We Share Information
We share information only as needed to operate the Service:
- Digital service providers (DSPs): release metadata, audio files, and payee information are shared with platforms so your music can be delivered and royalties correctly attributed.
- Collection societies: songwriter and publisher information may be shared with mechanical and performance rights organizations as part of publishing administration.
- Music supervisors & sync licensees: catalog and contact information may be shared as part of pitching your music for sync opportunities, if you've opted in.
- Manufacturing & fulfillment partners: shipping information is shared with our manufacturing and logistics partners to fulfill physical orders.
- Service providers: vendors who help us operate the Service, such as payment processors, cloud hosting, and email delivery, under confidentiality obligations.
- Legal requirements: when required to comply with a law, subpoena, or legal process, or to protect the rights, property, or safety of AudioKey or others.
We do not sell your personal information to third parties.
5. Cookies & Tracking
Our website uses cookies and similar technologies to keep you logged in, remember preferences, and understand how visitors use the site. You can control cookies through your browser settings; disabling them may limit some site functionality.
6. Data Retention
We retain account, release, and payee information for as long as your account is active and as needed to fulfill ongoing royalty obligations, including after a release or service is deactivated, since royalties can continue to be reported and owed for a period afterward. We may retain limited records longer where required for legal, accounting, or fraud-prevention purposes.
7. Your Rights
Depending on where you live, you may have rights to access, correct, export, or delete the personal information we hold about you, or to object to certain processing. You can update most account and release details directly from your dashboard, or contact us at hello@audiokey.net to make a request. Note that deleting certain payee information may affect our ability to pay royalties owed to you or your collaborators.
8. Data Security
We use technical and organizational safeguards, including encryption in transit, to protect the information you share with us. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
9. Children's Privacy
The Service is not directed to children under [insert minimum age, e.g. 13, or the age of majority in relevant jurisdictions]. We do not knowingly collect personal information from children under that age. If we learn we have done so, we will take steps to delete it.
10. International Data Transfers
